Job Summary

The Kevin Sha Team is looking for someone to play a key role in the organization. The Administrative Specialist will be responsible for reporting to and supporting the Realtor and when required support the team. The role is to provide administrative support and perform a diverse variety of tasks that involve a range of complexity and may include but is not limited to the following accountabilities.


Key Qualification

  • Minimum 2 years of real estate brokerage administrative assistant experience

  • Class 5 drivers license

  • Strong computer skills and proficient with mobile technology, maintain proficiency with software applications/programs and/or department specific systems as required (MS Office, Word, PowerPoint, Excel, Pages, Numbers, Keynote, business mobile apps, etc.);

  • Excellent time management skills; ability to multi-task

  • Ability to work independently with little supervision

  • Individual should be highly motivated and have the ability to take initiative

  • Excellent written and verbal communication skills with attention to detail

  • Related experience a must; experience in sales or real estate environment an asset

  • Knowledge of basic accounting through experience or education required; familiarity with financial terms and principles

  • Ability to work well under pressure while maintaining a friendly and positive attitude while dealing with multiple projects and deadlines

  • Ability to write routine reports and correspondence

  • Knowledge of financial accounting and bookkeeping experience.

  • Problem solving, analytical and quantitative skills.

  • Desire to play vital and crucial role in a high paced environment

  • Strong organizational skills and exceptional attention to detail and accuracy



  • Prepare documents

  • Prepare budgets

  • Manage listings

  • Provide general support

  • Database maintenance and management

  • Organizes and maintains filing systems.

  • Responds to phone calls and written requests for information.

  • Manage incoming calls and e-mails, and maintain appointment calendars

  • Set up external and internal meetings and coordinate all related matters

  • Manage and plan events

  • Coordinate travels

  • Provide accurate, organized and efficient administrative support



Bachelor degree or currently studying towards a post-secondary diploma or degree.
